Code of Conduct
Last updated: July 29, 2026
Our Commitment
Pantheon Events (hosting WinCon 2026) is dedicated to providing a safe and welcoming environment to all attendees. Harassment in any form will not be tolerated, including (but not limited to):
- Offensive comments, discrimination, or unfair treatment based on gender, gender identity and expression, sexual orientation, disability, physical appearance, body size, race, age, or religion
- Sexual images or content in public spaces
- Intimidation or stalking (physically or digitally)
- Photographing or filming someone without their consent
- Disruption of convention events or activities
- Uninvited physical contact
- Unwelcome sexual or romantic attention
- Advocating for or encouraging any of the above behaviour
Attendees asked to stop a certain behaviour are expected to comply immediately.
Attendees are responsible for their own actions and, if applicable, the actions of any minors attending with them, including any resulting repercussions.
Attendees are expected to be respectful of each other, event organisers, and volunteers at all times. This includes not using aggressive language, yelling, or making threatening or intimidating gestures.
Reporting an Issue
Attendees who experience or witness harassment, or who have any other safety concern, are encouraged to report it to a staff member or volunteer, or to the registration desk, as soon as possible. Reports can also be directed to info@pantheonevents.ca during or after the event. Reports will be handled as discreetly as possible, and attendees will not be penalized for reporting in good faith.
For anything requiring immediate attention — a medical issue, a safety threat, or similar — attendees should go directly to the registration desk or flag down the nearest staff member or volunteer, who can escalate to venue security if needed.
Badges and Access
Attendees must wear their event badge visibly at all times while in the convention space.
Children and Youth
Children and youth are welcome.
- Children under 12 must be accompanied by a parent or guardian (who is a registered attendee of the event) at all times.
- Youth aged 13 to 17 must have a parent or guardian (who is a registered attendee of the event) in the convention space at all times.
Accessibility
Service animals are welcome. Attendees with any other accommodation requests are asked to reach out to info@pantheonevents.ca or speak to a staff member or volunteer at the registration desk.
Costumes and Props
Costumes are welcome, but any prop weapons (including those used for cosplay, LARP, or tabletop props) must be non-functional and safely peace-bonded; attendees who are unsure whether their prop complies are asked to check with a staff member or volunteer at registration. Real or functional weapons of any kind are not permitted in the convention space.
Photography and Recording
Photography and filming are generally permitted throughout the event, so long as they do not disrupt the event. This includes games, the marketplace, and general convention activity. Permission is required whenever a specific person is the intended subject of a photo or video, rather than someone caught incidentally in a wider shot. Attendees are expected to comply immediately with any request to stop photographing or filming someone.
Food, Drink, and Substances
No food is permitted in the Ballroom or Vineyard Rooms. Drinks with lids are permitted. There is an on-site restaurant and a concession stand where food and drink can be purchased; food and drink must be consumed outside of the main play spaces.
Smoking, vaping, and consuming alcohol, marijuana, or other recreational drugs are not permitted within the event space at any time. Attendees must not bring any such substances into the convention space, whether or not they intend to use them.
Alcohol may be available at the venue's on-site restaurant but must be consumed at the restaurant before returning to the convention space. Disruptive behaviour as a result of intoxication will result in removal from the event space and a possible barring from future events hosted by Pantheon Events. No refunds will be provided in this circumstance.
Mobility Devices and Transportation
Rollerblades, skateboards, scooters, and similar modes of transportation are not permitted within the event space. (This does not apply to mobility aids or devices used for accessibility purposes.)
Vendors and Signage
Only approved vendors may display signage or advertisements.
Respecting the Venue
Attendees are expected to respect the convention venue's facilities. Attendees must not intentionally mark or damage venue property, put up or take down signs, leave trash anywhere but in an indicated refuse receptacle, or smoke in non-designated smoking areas.
Attendees must not move tables without checking with an organiser or volunteer first. Tables are laid out to accommodate events, allow free movement of attendees, and comply with fire regulations.
Doors, aisles, and walkways must be kept free of obstructions at all times.
Playing Games Considerately
Attendees are asked to be mindful of other people while playing games. If space is limited, attendees are asked not to take more space than needed for games, so that there's room for everyone to enjoy the event.
Lost and Found
As a courtesy, lost items can be turned in or claimed at the registration desk.
Liability
Pantheon Events is not responsible for lost, stolen, or damaged property, or for injuries sustained during the course of WinCon 2026, to the fullest extent permitted by law.
Consequences
Consequences for any breach of this Code of Conduct may range from a warning to immediate removal, at the discretion of Pantheon Events staff and volunteers, depending on the severity of the breach. Serious violations — including but not limited to harassment, threats, or unsafe behaviour — may result in immediate removal without a prior warning. In the event of a removal, ticket purchases will not be refunded, and the attendee may be barred from attending future events hosted by Pantheon Events.
